The Position

We are seeking an enthusiastic and self-motivated individual, with excellent attention to detail, to join our Office Team in Birmingham.

You will learn a wide variety of office skills on-the-job. You will be given early responsibility and the initial role will involve an array of client contract administration and general office assistant duties.

The successful Contracts and Office Administrator will have the following responsibilities:

  • Support client contract management process including creating first draft and final versions of business contracts, using approved templates, distributing, filing and maintaining various records
  • Identifying risks and taking ownership for resolving issues that impact the contract production request
  • Overseeing the running of various elements of the Birmingham office and reporting to our Office Manager in London
  • Acting as the main point of contact in the Birmingham office supporting a team of 90+ people
  • Provide professional and welcoming meet-and-greet service, being the first point of contact at reception and answering the phone.
  • Monitor office supplies and equip the office with stationery and catering
  • Responsible for Health and Safety through effective operation of day-to-day policies and procedures. Compliance with tests and reviews.
  • Take on role of Health and Safety officer and report any office related issues any problems that can affect health and safety of the staff to the Office Manager in London
  • Oversee the cleaning team to ensure consistent standards are met and raise any changes if required
  • Basic HR responsibilities, including welcoming new joiners, running office, health and safety tour, issuing access card and supporting any HR engagement activity.
  • Support colleagues in or manage any other ad hoc office tasks or operational activities e.g. Summer/Christmas party, venue finding for conferences and events.

Candidate Profile

You will be a self-starter who thrives when collaborating in a team full of brilliant and motivated people, with diverse interests and backgrounds. Everyone at Acturis has an outstanding academic background and we share a common passion for innovation.

Successful applicants will also have the following attributes:

• Graduated with a 2:2 or above and strong A levels

• Ideally, one year of office and administrative experience preferred

• Excellent attention to detail

• Competent with Word, Excel and Outlook and able to pick up new concepts

• Excellent communication skills both written and spoken

• Logical, well organised, and proactive
